Happy New Year, UCLA! We would like to welcome back all our staff and students returning after winter break. We hope you all had a wonderful time with family and friends, enjoying the holiday festivities, and ringing in the New Year with merriment and style. Also, you are still holding strong to those New Year resolutions, right? Of course you are!

But with each New Year comes news, updates, and changes. We here at HRPC – North would like to remind everyone what they should look out for as we return to UCLA. This also gives us an opportunity to announce new projects and initiatives that will be moving forward in 2018.

Open Enrollment Changes Go Into Effect January 1, 2018

Just a reminder, changes made during the Open Enrollment for 2018 will go into effect on January 1, 2018. Please review your December 27, bi-weekly pay check or January 2, 2018 monthly pay check to ensure your benefit enrollments are accurate and your premiums are being deducted as expected.

When At Your Service Online (AYSO) reopens on January 4, 2018, employees who enrolled or made changes during Open Enrollment for 2018 are also encouraged to go to At Your Service Online by clicking here (https://atyourserviceonline.ucop.edu/ayso/), login and then click on Current Enrollments under Health & Welfare. Verify the information shown here, such as the medical/dental/vision plans, the names of enrolled family members and Health Care/Dependent Care Flexible Spending Account enrollments for 2018. If there is a discrepancy between confirmed Open Enrollment transactions and the data shown in AYSO, notify the HRPC – North Benefits team or call the Central Benefits office at extension 40830 right away. It is NOT always possible to make corrections unless notification about errors is made right away, typically no later than the end of January 2018.

New 2018 Payroll Calendar and Deadlines

HRPC – North has released the 2018 Payroll calendar, which includes biweekly pay dates, UCLA holidays, deduction holidays, pay period end dates, and accrual dates. You can download a copy of the 2018 Payroll Calendar here.

New Project: Electronic Filing with Laserfiche

HRPC – North is excited to announce a new project that will move us closer to UCLA’s goal of sustainability and reducing paper waste: Laserfiche. Laserfiche is an Electronic File Management System which will allow our internal staff and clients access to electronic versions of our employees’ personnel file. Moving forward, processes and paperwork can be initiated, tracked, updated, and stored electronically on the Laserfiche system, reducing the need for paper forms. Our goal is to streamline the process for many of our common tasks, such as:

Hiring personnel
Requesting changes or updates personnel record
Requesting changes to an employee’s systems access
Processing separations
And more

We will continue to provide update to all our clients as the Laserfiche project progresses throughout the year.

New Project: Online Registration Calendar for Fingerprinting and I-9 Scheduling

HRPC – North is also looking forward to implementing an online registration calendar for scheduling fingerprinting and completing the I-9 form. This online registration will allow new hire candidates the ability to review the scheduling calendar, see available time slots, and schedule an appointment that works within their schedule. This new service will lift the scheduling burden off hiring managers and allow candidates more flexibility and control over their own time.

We will continue to provide update to all our clients as the online registration calendar project progresses throughout the year.
